Continental Forests is a Management Contractor for global-woods AG licenced by the government of Uganda to establish and manage a  forest on over 12,000 hectares in Kikonda Central Forest Reserve Kyankwanzi district, Western Uganda.


1) Forest Contractor (on behalf of global-woods AG)

global-woods AG is a forestry company that develops velops high-quality timber plantations in balance with social and ecological demands and standards.
global-woods AG is committed to the principles promoted by the Forest Stewardship Council (FSC) of environmentally appropriate, socially beneficial and economically viable management of forests.

We are seeking for suitably qualified contractors to undertake contracting in forestry operations in our plantation. Applicants should fulfil the requirements below:

1.      Should have a company registered with the registrar of companies and compliant with TAX and VAT rules.

2.      Should be able to raise a minimum of 50 workers who are duly registered with letters of introduction from LCs and recognized authorities from their areas of origin(s).

3.      Should have personnel with qualification(s) in forestry and a proven track record of contracting work in plantation forestry.

4.      Applicants should have a minimum of 2 years’ experience working in forestry contracting, handling large number of workers and should provide at least 3 traceable referees.

5.      Proof of sound financial standing.

VACANCY FOR AN ADMINISTRATION OFFICER POSITION

 

1. Background

Continental Forests limited has a job opportunity for a suitably qualified Ugandan to fill the position of Administration officer for sales for an initial contract of one year with a six month probation. The appointment is renewable annually based on good performance and character. Details of the position are as follows:

2. Job Title:  ADMINISTRATION OFFICER

3. Job Purpose/Principal Function: To enable the Harvesting, Processing and Sales Team to deliver integrated, customer focused services which improve outcomes by; managing on a day-to-day basis Departmental data and information. Acts as the contact person and liaison for the Department, other Company agents and customers/clients, and initiates and implements best and effective practices in administration functions.

4. Key Responsibilities

4.1      Loading and Transportation of Timber products

  1. Identify and recommend for hire vehicles for transporting sales

  2. Planning routes and load scheduling for sales deliveries

  3. Communicating effectively with clients and responding to their requirements.

  4. Monitoring that loading and transport are compliant to Sales procedures, standards and orders

4.2      Processing and follow-up payments

  1. Lead, direct and mentor sales staff to achieve total compliance to sales procedures.

  2. Assist and support sales and marketing teams to maximize revenues.

  3. Answer and respond to customer inquiries and build customer relationships.

  4. Assist and support processing payroll records as necessary.

 

  1. Tracking and demanding payment from debtors

 

4.3      Managing sales accounting information

        i.      Assist and support accounts department in financial operations relating to Sales and Harvesting.

      ii.      Cross-checking corresponding invoice, to ensure that the billing is accurate and regularly communicating with customers.

 

     iii.      Manage databases and document processes and systems implemention.

     iv.      Sends bills to customers; processes refunds; interacts with collection agencies on past-due accounts; and, works to resolve billing disputes.

      v.        Create and monitor internal auditing procedures and solve problem when accounting numbers are not in sync.

     vi.        Managing company documents and writing reports.

 

4.4      Stock Management

  1. Establish and maintain timber products in stock, quantities and specification for ease of relaying accurate information.

  2. Synchronize stock levels across timber stores and distribution channels

  3. Follow-up movement of stock from one place to another (between stores, customers etc).

4.5      Managing sales income and departmental expenditure

  1. Prepare budgets and sales projections and ability to track them accurately.

  2. Prepares reports by collecting, analyzing, and summarizing information.

  3. Ensure timely completion of financial and other administrative recordings on appropriate data formats.

  4. Prepare and analyze financial statements for decision making.

4.6      Others responsibilities

  1. Monitoring and enforcement of clients contractual obligation, i.e transport contracts

  2. Monitoring and enforcement of Health and Safety Standards in the unit.

  3. Any other duties that may be assigned

5. Knowledge, skills, qualifications and years of experience required

  1. Diplomain Business Administration, Stores Management, Accounting or any other related field,

  2. Minimum of two years continuous experience in similar work

  3. Must be able to work in a multi cultural and multi disciplinary environment

  4. Good understanding of corporate governance organisation.

  5. Ability to organise documents, employees, and financial budgets based on the day-to-day departmental operations.

  6. Must have an in-depth understanding of administration software (MS – Office).

  7. Must demostrate good sense of time management:

  8. Must have strong written and communication skills because they frequently correspond with outside clients through email, letters and telephones.
